Revamped planning tool provides necessary flexibility

Planning. In a sector that is so dependent on external factors such as landscaping and gardening, this is perhaps one of the biggest challenges in business operations. Bad weather conditions, staff shortages, essential machinery unexpectedly needing maintenance or repair... all of these factors threaten to throw the planned work into disarray. To prevent this, a clear overview and a degree of flexibility are essential.

“In the green sector, planning has traditionally been a challenging task, sometimes literally,” says John Willemsen of Infogroen. Before developing the sector-specific business software GroenVision more than thirty years ago, he worked in the industry himself. “Those who master it immediately have the key to professionalization in their hands. Because those who set clear plans and keep their agreements not only give themselves the opportunity to work more efficiently, but can also usually count on satisfied customers and staff. For example, workers know exactly what to expect each day, so they will perform their tasks better and, in other words, deliver higher quality. And that, in turn, means that projects are easier to finalize and get paid for.”

Faster and more intuitive planning

To support garden contractors and landscapers in their planning, the GroenVision software package has included a planning solution for many years, but following various technological developments, Infogroen launched the completely revamped PlanVision tool this year. “In view of the many variable factors, the tool has been completely redesigned,” says Willemsen. “This means that we can now offer our customers not only a clear overview of the planned work, but also the necessary flexibility to make the necessary adjustments with a single click when circumstances require it.”

PlanVision provides a clear overview of the schedule in the form of a timeline, which can be organized according to four different parameters: projects, teams, individual employees, or equipment. This allows you to check at a glance whether a particular machine is still available or which employee is available to replace a sick colleague on project X. What's more, any change to one parameter is automatically transferred to the other parameters, eliminating the risk of errors or double bookings.

Mobile access

It is no coincidence that the updated PlanVision was also made available as an app in VisionMobile, GroenVision's mobile platform. “First and foremost, we see this as a useful reference for people working on site. Although they are generally unable to make changes to the schedule, they do get a clear overview of their own tasks, the materials they need for them, and so on.”

In principle, every company can decide for itself who does or does not get active access to the planning tool, whether via the back office or via the app. “For example, it is useful for the person responsible for planning to be able to make the necessary adjustments remotely, and sometimes site managers are also given the necessary authorizations to intervene in the planning, for example when certain works are running behind schedule. Technically, anything is possible, but in practical terms, it is still good to be mindful of this. The more people who can make adjustments, the more chaotic it ultimately becomes.”

Direct connection to the shipyard

Even without active access to the schedule, there is still much more to be gained from the PlanVision mobile app. “The schedule can be used as a basis for mobile time registration,” explains Willemsen. “In concrete terms, this means that people on site can generate a digital work order with just a few clicks, which can be digitally signed via the same app. The hours worked can be recorded immediately and even prepared for invoicing. This also gives the administration a better overview of the progress of contracted work.”
